How to update training decks quickly when processes change

Ravish Agrawal

The fastest way to update training decks when a process changes is to make the change once and let it flow through the whole deck, instead of hunting slide by slide. Import your existing deck into Gamma, describe what changed ("step 4 now needs manager approval"), and use AI editing to update every slide that touches it. Then export back to PowerPoint, PDF, or Google Slides with formatting intact. Pair that with a simple owner-and-review rhythm, and your training stops drifting out of date.

Most advice on stale training stops at governance: assign owners, set review dates, keep a changelog. That part matters, and it's covered below. But governance only tells you when to update. This guide also covers the part that actually takes the effort: making the update without rebuilding the deck.

Why Training Decks Go Stale

Processes change constantly. A new tool replaces an old one, compliance adds a step, a team reorganizes, a form moves to a new system. The SOP gets updated (eventually). The training deck usually doesn't.

Here's why:

  • Updates are tedious. One process change can touch a dozen slides: the overview, the step itself, the screenshots, the summary, the quiz.

  • Nobody owns the deck. The person who built it moved on, and the file lives in three folders with three different version names.

  • Formatting breaks. Change one step, and suddenly a slide overflows, a diagram is wrong, and the layout needs rework.

  • Copies multiply. Regional versions, role versions, and "final_v3_USE_THIS" versions all need the same fix.

The cost is real. New hires learn the old way, experienced staff get conflicting instructions, and in regulated work, outdated training can become an audit finding.

Set Up Decks So They're Easy to Update

A little structure up front makes every future update faster, whatever tool you use.

One Source Deck Per Process

Keep a single master deck for each process. Role or region versions should be built from it, not maintained as separate files. When the master changes, the versions follow.

A Named Owner and a Review Date

Every training deck needs one owner and a "last reviewed" date on the first or last slide. Tie the review to the process itself: when the SOP changes, the training review is triggered automatically.

Modular Sections

Build the deck in self-contained sections (purpose, prerequisites, steps, common mistakes, quick reference). When one step changes, you update one section instead of untangling a deck where everything references everything.

Live Links Over Attachments

A PDF in someone's downloads folder never updates. A shared link always shows the current version. Wherever you can, share training as a link.

Step-by-Step: Updating an Existing Deck With Gamma

Step 1: Bring In the Deck You Already Have

You don't need to start over. Import your existing PowerPoint, PDF, or Google Slides deck, and it comes into Gamma slide-for-slide with near-perfect fidelity. Your structure, content, and order stay intact.

Step 2: Bring In What Changed

Pull the updated process straight from where it lives. Connect Notion, Linear, Slack, or another of 20+ supported tools, and Gamma reads the new procedure directly. Skip the copy-and-paste, Gamma builds the update from your source. Connecting a tool takes under a minute. If the change lives in a doc or PDF, upload that instead.

Step 3: Describe the Change

This is where it gets fast. Tell Gamma what changed in plain language:

  • "Step 4 now requires manager approval before submission. Update every slide that mentions the approval flow."

  • "We moved from Zendesk to Intercom. Replace the tool name and update the screenshots section."

  • "Add a new compliance check between steps 2 and 3."

AI editing applies the change across the deck, not just one slide, while keeping your layout and branding.

Step 4: Fine-Tune Anything That Needs Precision

Select any element and describe the change with AI editing, or switch to freeform editing to place, resize, and align elements exactly. Swap in fresh screenshots where the interface changed. Gamma handles the layout automatically, so new content doesn't break the slide.

Step 5: Update the Versions

If you run role or region versions, repurpose the updated master into each one rather than editing them separately. Need it in another language? Ask Gamma to translate the updated deck.

Step 6: Export or Share

Export back to PowerPoint, PDF, or Google Slides with formatting intact for your LMS or records. Or share a live link, so everyone always sees the current version and there's no old file to circulate.

Example: One Process Change, Start to Finish

Say your support team changes its refund process. Refunds over a set amount now need a team lead's approval in the billing tool before they're issued. Here's how the update plays out:

  1. The trigger. Ops updates the refund SOP in Notion. Because training reviews are tied to the SOP, the deck owner gets the review the same day.

  2. Import. The owner imports the existing "Handling Refunds" PowerPoint into Gamma. All 14 slides come in as they were.

  3. Connect the source. The owner connects Notion so Gamma can read the updated SOP directly.

  4. Describe the change. "Refunds above the threshold now need team lead approval in the billing tool before they're issued. Update the process overview, the step-by-step section, the decision flowchart, and the quick reference card."

  5. Fine-tune. The owner swaps in a new screenshot of the approval screen and uses freeform editing to place it next to the step it illustrates.

  6. Add a "what's new" card. One slide at the top tells experienced agents exactly what changed, so they don't have to re-read the whole deck.

  7. Update the versions. The master gets repurposed into the new-hire version and the team-lead version, each with the change applied.

  8. Ship it. The live link updates for everyone, and a PowerPoint export goes to the LMS.

The deck keeps its structure, branding, and everything that didn't change. Only the refund steps are new.

Keep Every Version in Sync

The real win isn't one fast update. It's never having twelve out-of-date copies again.

  • Save the deck as a team template. Every new process training follows the same structure, so updates always land in a predictable place.

  • Repurpose from the master. Turn one deck into a new-hire version, a refresher version, and a manager version, each tailored to its audience.

  • Mark the date. Keep a "last updated" card that changes with every revision, so learners and auditors know what they're looking at.

Ways to Update Training Content, Compared

Editing in PowerPoint

  • Control: Total, down to the pixel

  • Speed: Manual across every affected slide

  • Best for: Small changes to a deck someone already knows well

Rebuilding in an LMS authoring tool (Articulate, iSpring)

  • Control: Strong, with SCORM tracking and quizzes

  • Speed: Slower, especially for multi-module courses

  • Best for: Formal courses that need completion tracking

Updating with Gamma

  • Control: AI editing plus freeform editing when you need precision

  • Speed: Describe the change once and apply it across the deck

  • Best for: Keeping slide-based training current as processes evolve

The honest take: PowerPoint is still the standard for fine-grained control, and if your training needs SCORM packages with completion tracking, an authoring tool like Articulate is the right call. Gamma's sweet spot is the update itself: importing the deck you already have, applying a change everywhere it matters, and exporting back to whatever format your team uses.

Tips for Training That Stays Current

  • Trigger reviews from the process, not the calendar. When the SOP changes, the deck review starts the same day.

  • Keep screenshots in one section where you can. Interface changes are the most common reason decks go stale.

  • Write steps, not stories. Short, step-focused slides are far easier to update than long narrative ones.

  • Retire old files. When you update, delete or archive the previous version so it can't resurface.

  • Tell people what changed. Add a short "what's new" card at the top of updated decks so experienced staff can skip straight to it.

Common Questions

Can I update a PowerPoint training deck without rebuilding it?

Yes. Import the PowerPoint file into Gamma and it comes in slide-for-slide. Make your changes with AI editing, then export back to PowerPoint with formatting intact. The deck keeps its structure; only what changed gets updated.

How often should training materials be reviewed?

Review whenever the underlying process changes, plus a scheduled check (quarterly or twice a year works for most teams) to catch drift nobody flagged. Regulated processes often need a documented annual review at minimum.

How do I make sure learners see the latest version?

Share training as a live link instead of a file attachment. A link always shows the current version, while downloaded PDFs and slide files keep the old one forever. If you must distribute files, put a version date on the first slide.

Can I translate an updated training deck for other regions?

Yes. Once the master is updated, ask Gamma to translate it, then review the translation with a native speaker for terminology specific to your company.

What if the process change is big enough to need a new deck?

Give Gamma's agent the new SOP and the old deck. It asks a few questions about who's being trained, then builds a new deck that keeps your branding and structure. For a smaller version of the same idea, see how to turn an SOP into training slides.
