Being able to automate the redundant parts of a business is getting easier and easier with the new advancements in technology. From automating communications with clients or employees, to automating operations.
Here is what implementing automations can do for your business:
  • Reduce Labor Costs: By automating some of the redundant processes in your business, you can reduce the cost of labor as well as the time and resources needed to manage it.
  • Better Client Experience: By automating things such as communications with clients. You will be able to provide them with a better experience, allowing them to feel better about using your services and ultimately spending more with you.
  • Improved Accuracy and Consistency: By automating tasks you reduce the chance for mistakes and inconsistencies allowing you as the business owner to be less mindful of relatively unimportant parts of your business.

Part 1: Introduction to Automations
What does Integrating Automations Consist of?
For local service businesses, automations usually revolve around communications and in a minor part, operations. Mostly, we will be covering basic communication automations, sales automations, invoicing automations and content posting automations.
How do Automations Affect a Business?
  • Increase Speed of Communication: By having automated ways of communicating with clients. You not only give a better experience to your clients but also reduce the amount of time it takes to close a sale, from the first point of contact from a client to the sale.
  • Reduce Expenses: When automating communications and operations, you reduce the need for employees in those positions. Allowing you to replace salaries with a close to free alternative.
  • Increase Revenue: By automating parts of the customers journey, you then increase the conversion rate of a potential client. If integrated properly, you can increase the amount of clients you sell to, without even increasing the demand for your service.
In short, automating the redundant processes of your business allows you to free up more of your time, reduce expenses, increase revenue, and grow your business to new heights. New AI technologies and automations are coming out every day, making these next few years true gold rushes for businesses ready to take advantages of these technologies.

This refers to any and all communications held with customers. From DM's to E-mails to appointment reminders and more.
Why is it important:
With the technology we have today it is relatively easy and straight forward to automate communications with clients. Making the easiest and most productive thing to automate for a service business of any size.
Operations Automations
What does this entail:
This refers to automating aspects of your operations such as invoicing, client onboarding and even social media posting.
Why is it important:
By automating the simplest tasks in the operations of your business you reduce the time and resources needed to be allocated to redundant tasks. Allowing you to focus on the most important ones.
Part 2.1: Communication Automations
Here are a few strategies to optimize your communications with clients
Automating Communications
Here are the ways to optimize every aspect of you communications with clients.

Potentially Interested Communications:
DM's:
If you receive DM's on a consistent basis you can, on most platforms, create generic responses for the most common questions people might ask you. These are integral functions of the actual social media platforms and so no need to invest in external software.

An example of this would be on Facebook. Where you can set responses to specific DM's, and even create a response for generic DM's. Allowing you to respond to your most common DM's quickly and automatically 24hours a day, 7 days per week.
Response Types (Use the ones most effective for your industry and services):
  • Generic: Generic response that applies to all ''we have received your message, we will get back to you'' response
  • Specific: Specific responses to the 20+ most common inquiries (including misspelled inquires)
  • Actionable: Asking them to take action in contacting you directly by phone, or referring them to a form to fill out/calendar link for an appointment.
E-Mails:
Although e-mails tend to be more personalized then DM's, since they usually involve inquiries. You can set automatic responders in the same way as for DM's.
Response Types (Use the ones most effective for your industry and services):
  • Generic: Generic response that applies to all ''we have received your message, we will get back to you'' response
  • Specific: Specific responses to the 20+ most common inquiries (including misspelled inquires)
  • Actionable: Asking them to take action in contacting you directly by phone, or referring them to a form to fill out/calendar link for an appointment.
Calls:
Although the technology is evolving and one day we will be able to delegate phone calls and all customer service calls completely to AI, it is not the case at the moment. Here are some of the automations you can set for Calls. As a side note, a rule of thumb for answering back a lead is within 5 minutes. This reduces the chance of lead finding a new business or changing his/her mind about dealing with you.
Miscall, Text Back: If ever you are not available to answer the phone when someone calls, that is a lost opportunity for a potential client. A good way to help this, is to have miss call, text backs. Where if you miss the call of the client, they will receive a text giving them instructions on how to reach you or guide them to an action.

This feature is probably the most important one for any service business. Allowing you to capture clients you would of otherwise lost. 24 hours a day, 7 days per week.
Voicemail :
If ever a lead or a client doesn't answer your phone calls, you can set them up on a Voicemail Drop sequence. This will allow you to give them a sequence of messages, enticing them to call you back without ever needing to manually do it yourself.
Here are some of the versions you can set up:
  • Interested Lead Sequence: Trying to get the lead that showed interest on the phone is the best way to get them to use your services. The second best way is to leave them voicemail drops, every so often until they take action or you see it is not worth you efforts. You can set them up one time and let them run forever, allowing you to capture interested leads without you having to waste time calling them.
  • Unpaid Invoice Sequence: If you have tried calling them and they have not given you an answer, you can use the voicemail drops to constantly remind them of payment until they pay or you take action against them. This allows you to keep contacting them without wasting time doing it.
  • Appointment Reminder Sequence: Although we will be going through a text message appointment reminder, adding voicemails to the mix allows you to stand out and sound more ''real''. Sometimes people forget that they are talking to a real business and affecting real people's lives when they don't show up for appointments. Which is why you can set up these voicemail reminders to show them you are real, and in a sense, make them feel worse about cancelling the appointment.
Text:
For text message sequences, they are usually part of an onboarding or client satisfaction sequences. Text sequences are usually the most successful of them all as text messages usually get the highest response rates of all forms of communications. Making it best to be used for the most important parts of your communications with customers.
Here are some you can set up:
  • Miscall Text Back: This, as discussed previously in the ''Call'' section, is probably the most important communication to be automated for a service business. Whether hair salon, spa, construction company, etc.
  • Appointment Reminders: Sprinkled in with voicemails, you want to set an appointment reminder sequence that reminds customers of their appointments without bothering them to much. A sequence that we follow that seems to be most effective is a 24 hours, 3 hour, 1 hour before appointment sequence. Allowing you to properly remind the customer without bothering them. The messages should be in a conversational tone, increasing the chances that the client will feel the need to mention to you if he were to cancel his appointment.
  • Onboarding Sequence: This sequence is mostly for businesses with large and long to implement services, like construction or financial service companies. These sequences will serve to show you clients you can be trusted and that you will do what you said you will do. This onboarding process is specific to each industry, but it comes down to making small promises to clients and keeping them. Telling them you will send them ''x'', and sending it. Saying you will work on ''y'' and work on it.
  • Progress Report: Again, for larger and more time intensive services, a progress report can make a customer feel at ease with choosing your service, making the experience for them more pleasant. Like the onboarding sequence, it is quite relative to each business type and even each client. A rule of thumb would be to send them every 3-7 days, a report on what has been done, and what is left to be done. And if or not you will be hitting your target.
  • Review Ask Sequence: This sequence, done at the end of offering the service, is a one or two text sequence to ask the client to review your business on the site of your choice (we recommend Google my Business for local service businesses). Simple message thanking them for their business and asking for a review. The second message, if they have left a positive review, can be to ask for referrals. Sometimes all it takes is just to ask.
There are many more sequences that can be built, especially for large and more complex services, but the one mentioned above should suffice for any average business. Keeping in constant communications with clients is a great way to improve customer relationships. Increasing the chances they will enjoy their experience with you, leave you a good review and refer their friends to you.

  • Reminder Notices: Set up automated reminders for unpaid invoices at 7, 14, and 30 days.
  • Payment Confirmations: Automatically send payment confirmation messages once an invoice is paid.
Strategies:
  • Use invoicing software like QuickBooks, FreshBooks, or Xero to automate invoicing processes.
  • Set up automated email reminders for overdue invoices to ensure timely payments.
Social Media Posting:
Automate the scheduling and posting of content on social media platforms to maintain a consistent online presence without manual effort. Saves time, ensures consistent posting, improves audience engagement, and helps maintain an active social media presence.
  • Scheduled Posts: Pre-schedule posts to be published at optimal times.
  • Recurring Posts: Set up recurring posts for regular updates or promotions.
  • Content Calendar: Create a content calendar to plan and schedule posts in advance.
Strategies:
  • Utilize social media management tools like Social Blade, Buffer, or Later to schedule posts.
  • Create a monthly content calendar to organize and automate your social media strategy.

Employee Scheduling:
Automate the creation and management of employee schedules to ensure efficient use of labor and minimize scheduling conflicts. Saves time, reduces errors, and improves employee satisfaction by providing clear and consistent schedules.
  • Shift Scheduling: Automatically generate and distribute employee shift schedules.
  • Shift Reminders: Send automated reminders to employees before their shifts.
  • Schedule Changes: Automatically notify employees of any changes to their schedules.
Strategies:
  • Use scheduling software like Deputy, When I Work, or TSheets to automate shift scheduling.
