Case Study: BHLIVE
Roy Clarke – Director of Technical Operations.
The Challenge: Fragmented Systems
Implementing and maintaining a consistent quality management system across our organisation used to be a significant headache. We struggled with disparate systems – a mix of paper-based records, several incompatible software packages, and a labyrinth of word documents and spreadsheets scattered across shared and individual drives. This made it incredibly difficult to ensure everyone was working from the latest policies, procedures, and critical health and safety information.
Searching for documents often resulted in a frustrating deluge of multiple versions, many of which were outdated or had been unofficially altered. The lack of standardisation in document formats and operational recording methods across our various sites only compounded the issue.
Limitations of Previous Solutions
Unsuitable Bespoke Software
Our previous bespoke software solutions simply weren't meeting our needs. Our CAFM system, for example, was designed for facilities management companies focused on individual asset maintenance, not for the operational oversight of our entire building portfolio.
Restricted User Access
Its limited per-user licensing also restricted its adoption across the team.
Reporting Difficulties
Generating accurate, real-time operational reports was a near-impossible task. We lacked a clear and efficient way to record and monitor operational checks, issues, and their subsequent follow-up actions. Tracking document versions and confirming that staff had read and understood critical information was also a major challenge.
The OpsPal Solution
Since implementing the OpsPal Operational Compliance Platform, these difficulties have become a thing of the past. OpsPal has provided us with a centralised and consistent system for managing all our policy, procedural, and health and safety information. Record-keeping for operational checks and actions is now streamlined and transparent. The platform's robust search functionality ensures we can quickly access the most up-to-date and authorised documents, eliminating the confusion and risk associated with outdated versions.
The consistency that OpsPal has brought to our document formats, systems, and processes across all our sites has been invaluable. It has replaced our outdated and unsuitable bespoke systems with a solution that is truly operationally focused and accessible to all relevant users.
The Results: A Game-Changer
